Booking Terms & Conditions

1. BOOKING
All telephone, internet and postal bookings will be confirmed by email or post. Part or full payment is regarded as acceptance of the booking conditions. Deposits are non-refundable (except in the case of the customer protection scheme see below). TeamCamp accepts payment by cheque, debit or credit card (credit care payments incur a 2% bank charge on the total booking value). No booking will be fully confirmed until payment is received. Cheques returned or cards declined by the company's bank account may incur a £10 charge.

2. CHANGES AND CANCELLATIONS
There is a charge for cancellations and some changes - please see FAQs. In exceptional circumstances TeamCamp may have to cancel particular dates. In this event, we will try to give those booked onto the programme at least 14 days notice and will offer a suitable alternative if one is available, or refund all monies paid for the dates cancelled if preferred.

3. CUSTOMER PROTECTION SCHEME
Our optional Customer Protection Scheme (an additional £5 per week, or £4 at Easter) will protect your booking if your child is ill or injured. Note that this applies to ill health/injury either to the child or parent if it meant that the child was not able to attend. You will receive a full refund for all days missed (calculated on a pro-rata basis), minus the scheme premium, on receipt of a doctor's certificate. Cover excludes pre-existing medical conditions. Any claim made under the Holiday Protection Scheme must be made within 4 weeks of the first date of illness.

4. STANDARD HOURS AND EXTENDED DAYS
Standard hours include flexible start times of 9-9:30am and pick-up times of 4:30-5pm. However, for an additional £40 per child per week (or £32 at Easter) you may select our 'extended days' option. This allows you to drop your child off any time from 8am and pick him or her up as late as 6pm. Whichever option you go for, if you are late in picking up your child at the end of the day we reserve the right to charge an additional £5 per 15 minutes.

5. INSURANCE
All children in our care are covered by our Public Liability Insurance.

6. EQUAL OPPORTUNITIES AND CHILD PROTECTION
TeamCamp is an equal opportunities employer and also welcomes all children regardless of their gender, ability, race or religion. Each child attending camp is of equal value and is entitled to equal access of opportunity. We operate a zero tolerance policy to discrimination or bullying of any kind. TeamCamp has legal obligations in relation to child protection. As a caring organisation, any suggestion of child abuse or neglect will be reported to Ofsted and/or another official agency.

7. CHILD SAFETY RISKS
TeamCamp has completed risk assessments for all activities and avoids activities that pose any notable risk of injury. However, any game involving running around risks that a child may accidentally hurt themselves. In particular, some activities will take place on Hampstead Heath. These will take place within a defined area, and will be highly supervised (minimum of one adult supervisor for every six children). Supervisors will ensure that children do not leave the defined area. Within that area however, and depending on the game, it is possible that from time to time a child will not always be within the immediate vision of a supervisor. Please advise Head Office when you book if you have any objections.

8. FIRST AID
In the event of an accident, first aid will be administered to children in our care, and the emergency services will be called if necessary, unless advised to the contrary. Essential medication must be handed in to each child's Camp Director for safe-keeping. Consistent with Ofsted recommendations, we suggest that all parents of children carrying Epipens arrange for a qualified medical practitioner to demonstrate use of the Epipen to our on-site first aider, Camp Director and Team Mentor on their first day at camp. If this is not practical then we will accept a demonstration given by a parent/guardian instead.

9. DIETARY NEEDS, ALLERGIES, AND MEDICAL CONDITIONS
When making your booking, please let us know if your child has any special dietary needs, allergies, or medical conditions. This is so we can be prepared for any potential eventuality concerning your child. Unless otherwise notified by you, we may provide children with water, fruit Juice drink, and fresh fruit.

10. PHOTOGRAPHY
Please be aware that we occasionally take photographs of children on camp for our promotional material. Children may also like to take photographs of each other to remember their time at camp. Please advise Head Office when you book if you have any objections.

11. AVAILABLE DATES AND ACTIVITIES
All the information in our literature was correct at time of print. Changes may occur and TeamCamp will try to inform parents as quickly as possible. Activity programmes are subject to change in the event of unsuitable weather or other circumstances beyond our control.

12. SPECIAL NEEDS
It is our policy not to exclude any child due to special needs, wherever possible. Equally we need to ensure that the TeamCamp programme is appropriate for each child we accept. The needs of each child vary, so decisions are made on a case-by-case basis, depending on the level of support each individual child requires to enable them to fully participate in and enjoy activities at TeamCamp. We request that parents of children with special needs contact Head Office to discuss how TeamCamp can best accommodate their child, and consider whether any special arrangements need to be made.

13. CHILD EXCLUSION
On rare occasions, a child may prove incompatible with the general well-being of camp e.g. due to bullying, disruptive or aggressive behaviour. We reserve the right to exclude such children. No refund will be made for any remaining days booked, and any costs associated with the exclusion, including transport home, will be the parent's responsibility.

14. DATA PROTECTION
TeamCamp takes your privacy very seriously and will not share your information with third parties. From time to time, we will use your details to mail and/or email you with future information about our services. You may opt out of our mailing list at any time (you will be provided with the opportunity to do so whenever you receive an email from us). TeamCamp is registered under the Data Protection Act.

15. PARENT FEEDBACK
We aim to provide the best possible care for all children, at all times. Please tell other parents if you are happy with your experience. If you have concerns or suggestions, please tell us. We value your feedback and use it to develop and improve our services. Any concerns should be raised with the Camp Director, who will make every effort to resolve the issue to your satisfaction.
